St Hilda’s College invites applications for the post of Personal Assistant to the Principal. The post is to be filled with effect from 3rd April 2018, and is available for a term of 3 years in the first instance, but may become permanent in due course. Salary in the range of £28,098 - £33,518 per annum, for 35 hours per week, plus benefits. The post is full-time, but the College is willing to be flexible.

Outline of Role

The Principal’s PA will provide efficient and effective support to the Principal at the highest level, in a largely independent and self-managed capacity. The post-holder will manage the appointments, travel and correspondence with, and for, the Principal. The post-holder will be the primary point of contact between the Principal, the College community and the outside world; they are responsible for welcoming the Principal’s visitors and assisting them with queries. Excellent interpersonal and communication skills are central to the role.

The post-holder will have highly developed skills in assessing and prioritising the urgency of requests for information from, or access to, the Principal, and they will have confidence in managing a demanding workload within tight deadlines. The post-holder will work in conjunction with the Principal, Vice Principal, Bursar, Senior Tutor, Development Director and College Fellows. The post-holder will also be responsible for managing high-profile events for the Principal in order to maintain and develop the College’s busy and varied events programme.

The post-holder will act as the main point of contact and administration for the College Fellowship and members of the Senior Common Room (handling their queries, assisting in Fellowship appointments, briefing new members etc.). The post-holder will maintain the Fellowship and Trustee records, committee membership lists, and manage communications with the Fellowship, including the termly calendar.

In addition the post-holder will manage the administration for occasional sub committees and working groups, including minute taking and anticipating as far as possible the needs of these.  This will require the exercise of judgement, alongside strong organisational skills, tact, and diplomacy.

The post-holder will have access to confidential information and documentation, and to personal information about staff, students, donors and other constituents of the College. The Principal’s PA has specific responsibility for preparing contractual letters for Fellows and lecturers and conducting ‘Right to Work’ checks. Discretion is, therefore, essential.
